How a media day works: from planning to delivery

August 13, 2026 · 5 min read
Short answer

A media day has four phases: alignment beforehand, one focused shoot day on location, post-production with one to two feedback rounds, and delivery of ready to publish files. Four to eight hours of filming yields eight to fifteen short videos or several long formats, depending on scope.

How a media day works: from planning to delivery

Before the shoot day

The part that decides the yield happens before the camera runs. We settle what the content is for, which topics should be covered, who goes in front of the camera and when which rooms are free.

What you need for that is manageable: a list of the topics that matter to you, and confirmation from the people involved that they have time that day. Equipment, running order and logistics come from us.

The shoot day itself

A shoot day is not a film set. The point is to gather as much usable material as possible in a few hours without bringing operations to a halt.

Typically three kinds of shots alternate: short statements to camera, footage of the actual working day, and calm detail shots that later serve as cutaways. Those detail shots are exactly what makes the difference in the edit, and they are what companies filming for themselves most often forget.

After the shoot

First everything is reviewed and sorted. Out of eight hours of material a fraction remains, and that is normal. Then come editing, colour grading, subtitles and audio mastering.

You get the results to review and give feedback. One to two rounds are included. It helps to give feedback in one go rather than in drips, because every round reopens the whole edit.

What you get in the end

Files ready to publish, cut for the channels they are meant for. Vertical for Instagram and TikTok, landscape for YouTube and your website, plus subtitles, because a large share of the audience watches without sound.

The real gain is the stock. Depending on scope, a single shoot day fills two to four months of publishing plan. That takes away the pressure of having to produce something spontaneously all the time.

What you can prepare yourself

  • A topic list. Five to ten questions clients keep asking you. Those are the best video topics there are.
  • Book the people. Whoever is going in front of the camera should not have parallel appointments that day.
  • Tidy the rooms. Sounds trivial, but it saves time in the edit and immediately looks more professional on video.
  • Agree on clothing. Solid colours work better than fine patterns, which flicker on camera.
